Why this check matters

The draft bill of lading, sometimes called the verify copy, is the point where a correction is still part of the normal approval round. Maersk’s submission guidance describes the sequence this checklist fits: shipping instructions go in through the hub, and once processed a digital verify copy is issued as a PDF to download and check. Compare that copy field by field against the final submitted instructions, then either approve it or return it with the exact mismatches named.

Example

For example, a customer submits revised shipping instructions changing the consignee address and the package count. The verify copy arrives. Everything matches except the marks and numbers field, which still shows the earlier revision. The operator spots it at this check, asks for the correction, and the released B/L carries the right details.

Before you start

  • Have the final submitted shipping instructions open, including any revision sent after the first submission.
  • Have the verify copy open as issued, downloaded as a PDF rather than retyped.
  • Note who authorised the instructions and when, so queries go back to the right person.

Parties and references

  • Shipper, consignee and notify party names and addresses match the instructions exactly.
  • Booking or shipment number, vessel and voyage, and port pair match the confirmed booking.
  • Freight and charge terms match what was agreed with the customer.

Cargo description

  • Goods description, package count, weight and measurement match the final instructions.
  • Container and seal numbers match the loaded units where shown.
  • Marks and numbers reflect the latest revision, not an earlier one.
  • Any clause or remark requested in the instructions appears as worded.

Decision and evidence

  • Every field either matches or has a named mismatch with an owner and a correction request.
  • Save the checked verify copy alongside the instructions and the approval or correction request, so the amendment record stays complete.
  • Where the volume of drafts means operators retype the same comparison on every sailing, extraction and comparison tooling can assemble the field comparison, with a person keeping the approval decision.

Approved drafts move to release; mismatched drafts go back with the exact fields named. Approving from the issued copy, rather than from memory, is what keeps a small transcription slip from travelling further.

If this check takes operator hours on every sailing, bring one of your recent verify copies and the instructions behind it to a review.
