The customer needs one container instead of two, but the carrier booking and equipment release still show the original quantity. Before anyone arranges collection, the operator needs a clear instruction for what changes and what stays the same.
Maersk treats container count and equipment type as separate amendment fields. Its online guidance calls for checking the revised booking confirmation once the change is confirmed.
Separate the quantity from the equipment type
A request for one container instead of two changes the quantity. A request for a different container type changes the equipment. Keep those fields separate so the returned confirmation can be checked against exactly what was approved.
Before proceeding, establish the current booking revision, the customer instruction, approval authority and equipment-release or pickup status. The amendment route and any cost depend on the applicable booking and carrier terms.
Work through 2 × 40HC → 1 × 40HC
Example. Booking EX-002 contains two 40HC containers. The authorised request is for one 40HC container. It does not authorise a switch to 40GP.
| Field | Original | Approved request | Returned confirmation |
|---|---|---|---|
| Container quantity | 2 | 1 | Awaiting response |
| Equipment type | 40HC | 40HC | Awaiting response |
| Equipment release | Current record required | Establish effect of reduction | Not verified |
| Amendment charges | Unknown | Obtain and approve applicable quote | Not reconciled |
Record what remains unchanged as well as the requested reduction. Keep the instruction beside the original booking and the approval.
Establish what has already happened to the equipment
Check whether releases have been issued and whether either unit has been collected or moved. Identify the relevant release or pickup instructions before asking for a reduction. A change in booking quantity does not, on its own, prove that an existing equipment instruction has been withdrawn.
Record any partial-cancellation request separately from a change in equipment type. Do not infer a universal cancellation deadline or fee from this example; those require the applicable product, location and shipment state.
Obtain authority and submit the request
The nominated person approves the requested quantity, equipment type and any known charges. Unknown charges remain open until an authorised person can decide how to proceed.
Retain the approved field values and the submitted request. The authorised operator submits through the agreed carrier route. Neither this example nor Unhurdled’s proposed workflow establishes a live carrier connection.
Check the returned quantity and every dependent record
Compare the latest confirmation with both the original record and the approval. If one 40GP is returned instead of one 40HC, the quantity matches but the equipment does not. Mark the amendment as unresolved.
Check relevant equipment instructions, haulage or pickup arrangements, shipping instructions and other affected records. Give each outstanding correction an owner. Use the verification checklist to keep requested and confirmed values distinct.
Reconcile the charge position
Record quoted, approved and returned charges separately. Identify any invoice or credit still expected and any disputed item. Customer recovery is a separate decision from the carrier’s charge.
The intended output is a quantity-and-equipment comparison, retained approval, carrier response, affected-record list and charge disposition. Close only the parts supported by returned evidence.
