Booking amendment tracking: a record you can prove later
Ocean freight booking amendments get lost between portals, inboxes and approvals. Build an amendment record that survives to the charge query, with AI-assisted checking.

A supplier revises the cargo-ready date before terminal gate-in. The forwarding team needs to establish what can still move, which option the customer accepts and what the carrier actually confirms.

Discuss this amendment
01 / THE REQUEST
The cargo-ready date moves beyond the date used for the current booking. The request is received before terminal gate-in; the operator confirms the cargo and booking state before choosing the route forward.
02 / THE RECORD
03 / PROPOSED WORKFLOW
Keep the original booking and revised readiness information together.
Prepare an options comparison from the information the operator has verified. Leave unquoted fees and unconfirmed dates open.
Draft an amendment request for the option the authorised person selects.
Compare the returned confirmation with the approved request and list the downstream records that need attention.
04 / AUTHORITY
Your operator or nominated approver chooses the sailing, accepts any known charges and authorises the amendment. The workflow does not choose a customer commitment or submit a carrier request on its own.
05 / COMPLETION
A returned booking confirmation matches the approved sailing and requested fields. The record also identifies the owner of any remaining transport, document, customer-update or charge action.
06 / EXCEPTIONS
An unavailable option, rejected request, partial confirmation or changed charge returns to the operator. The amendment stays open while the response differs from the approval.

WORKFLOW REVIEW
We would trace who receives the new date, who compares the sailings, who gets customer approval and who checks the amended confirmation. We would use that review to agree a workflow map, recurring failure points and a proposed pilot scope.
